Senior Accounts Payable Specialist

SUMMARY

The Senior Accounts Payable Specialist is responsible for ensuring accurate and timely processing of vendor invoices and payments in accordance with company policies and procedures. This position plays a key role in maintaining strong vendor relationships and supporting the overall efficiency of the accounts payable function.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

• Enter invoices into the accounting system with high accuracy.
• Prepare and execute weekly check runs and electronic payments.
• Respond to vendor inquiries and resolve payment discrepancies in a timely manner.
• Ensure vendor files are maintained and ensure compliance with internal controls and audit requirements.
• Assist with month-end closing activities related to accounts payable.
• Generate reports and support internal departments with A/P-related requests.
• Collaborate with procurement and project management teams to resolve invoice or payment issues.
• Oversee employee who is responsible for invoices entered through AI.
• Review invoices to ensure accuracy and timeliness.

QUALIFICATIONS include the following:

• 2+ years of accounts payable or general accounting experience.
• Experience with Vista (by Viewpoint) or similar ERP systems is highly desirable.
• Proficiency in Microsoft Office, especially Excel and Outlook.
• Strong attention to detail, organizational skills, and ability to meet deadlines.
• Excellent communication and problem-solving skills.
• Ability to work independently and as part of a team.
• Above average reasoning skill needed for pre and post evaluation of challenges, processes, and specifications.

REQUIRED SKILLS:

• Good oral and written communication skills.
• Proficient computer skills including MS Office programs.
• Must have good mathematical and statistical skills needed for evaluation of data, computation, and calculations.
• Detail oriented and focused with good organizational and analytical skills.
• Professional attitude.
